Long-term management of signed data with official time stamps

A diverse range of documents and records have to be archived in companies, local authorities, health facilities and in the social insurance sector for long periods of time in a manner that secures their probative value.

With the passing of time and as a result of technological progress, signature renewal or time stamping using more advanced processes may be required in order to preserve the probative value of signed data and documents. This applies, for example, to medical records, personnel data or payment-related documents at social insurance agencies.

In Germany, for example, the Federal Network Agency (BNetzA) determines when and under which circumstances signature renewal is required based on the specialist expertise of the Federal Office for Information Security (BSI). Current experience has shown that renewal periods range between 5 and 7 years.

Solution: Qualified timestamps & ArchiSig

In combination with a DMS or archive system, secrypt’s digiSeal® archive software secures the long-term probative value of signed data for the legally required and permitted periods. The signature is renewed punctually and automatically on the basis of the international LTANS/ERS standard and the ArchiSig concept. Legally compliant ("qualified") timestamps are used that are classified by the German Federal Office for Information Security (BSI) as secure. These official timestamps are issued by accredited providers such as the secrypt partner D-TRUST GmbH (a subsidiary of the Bundesdruckerei Group).

The archiving process can be outsourced if the facility, for example a small clinic, does not want to secure these processes itself. In compliance with the legal data protection requirements, the long-term management can be completely conducted at the service provider.
